Viewing the Person Detail Record

The Person Detail is always the first information displayed when entering the Person record.

  1. From the SmartSolve Portal Page, click the Home tab at the top of the window.
  2. In the Training Management section of the list, select Find > Person.
  3. Click the Person code of the person to be viewed.
    Result: The Person Detail record is displayed.
  4. The following information is displayed in the Person Detail record:
Information Description

Header

The header of the Person record is always displayed at the top of the window and contains the following information:

  • Person – Displays the unique code of the Person record as well as the first and last name of the person.
  • Position – Displays the current position assigned to the person.
  • Manager – Displays the person's manager.
  • Department – Displays the person's department. This field is used for escalation and for restrict org unit security. It is also used to search for actors. For additional information on configuration, see Departments.
  • Person Status – Displays the person's status. If set to Active, all roles attached to the position will transfer to the Person record and all requirements attached to those roles will activate (if applicable). Also, if set to Active, the person will now display on the Needs Training List for any requirements that have transferred from roles attached to the selected position. If Inactive, the person does not display on the Needs Training List and no roles attached to the position will transfer to the Person record (until later set to Active after the Person record is created).   • Position Certification Status - This status displays whether or not the Person is certified on all requirements attached to roles that have been assigned to this person through their position
  • Person Certification Status – This status displays whether or not the person is certified on all Must Have Requirements.

Code

Displays the unique code which is the first field that identifies the employee or other user in the Person list. Most customers populate this field with the user’s first initial/last name or last name and first initial.

Logon User

If the person will be logging into the system, this is the logon ID that will be used by the user. Ensure the logon user entry exactly matches the user ID entered in the user account on your server. Passwords do not need to be set up because the application uses the password from the user's account on the server.

Enable Logon

If this checkbox is checked, the person can log into the application with a valid user ID.

First and Last Name, Middle Initial

Displays the first and last name of the person. This information will be used for searching.

Requires Manager Approval to Attend Training Session

Specifies whether or not the person is required to receive manager approval in order to attend training sessions.

Manager Name

This field may be used for review and task escalations in SmartSolve. In Training Management, it is used as a method to search for employees by manager as well as to restrict person managers by using rights to only allow a manager to see Person records for their employees. Use the DEFAULT actor as a manager if needed until you add all persons or configure your Person list using your org chart.

Hire and Start Date

Displays the dates the employee was hired and the date the employee will start working in the position assigned.

Email Address

Enter the person’s email address in this field if you want your person to be notified by email of items that need to be completed.

Department

This field is used for escalation and for restrict org unit security. It is also used to search for actors. For additional information on configuration, see Departments.

Site

Displays the person's site.

Telephone Info

Enter the person's telephone information.

Address Info

Enter additional person address information.
